Three moments to keep employee sign-offs on track

A policy attestation is a recorded sign-off. Keep track of what each employee has signed as new people join, your handbook changes, or it is time to ask everyone again.

Onboarding

Give each new hire the policies for their role

Make handbook and policy sign-offs part of joining, with a clear list of required documents for each employee.

  1. 1Publish your handbook, code of conduct, and role-specific policies.
  2. 2Assign the documents to department, location, or role groups.
  3. 3Add employees to the groups they belong to. Send requests yourself, or turn on automatic emails for new group assignments.

Policy changes

Roll out the revised handbook without losing history

Keep the updated policy and earlier signatures together, so you can identify who still needs the new version.

  1. 1Prepare and publish a new revision of the existing document.
  2. 2Review employees whose earlier completion is now outdated.
  3. 3Send new requests when you are ready. Publishing alone does not email everyone.

Repeat sign-offs

Ask for another signature when it becomes due

Ask employees to sign again at the interval your organization needs, even if the policy itself has not changed.

  1. 1Choose how often employees need to sign again, such as once a year.
  2. 2Turn on Auto-renew to send the next request when it is due.
  3. 3Each employee’s next request follows their last signing date, rather than a shared calendar date.

Make the next action clear

See what is missing before you send another reminder

Review outstanding work by employee, group, or document. Different gaps call for different actions: a first request, a reminder, or a new signature.

Unrequested
An assigned document still needs its first request.
Pending signature
A request has been sent, but the employee has not finished.
Outdated
The employee completed an earlier version and needs the current one.
Renewal due
Another signature is due after an earlier completion.

Export matching report results to CSV or print to PDF for leadership. Reports summarize completion; open the individual request when you need the signed document.

Let automatic reminders handle unfinished requests

Smart Follow-up uses viewing activity and deadlines to time reminders. Send a personal note or follow up in bulk whenever you need to step in.

When someone asks what an employee signed

Go from a completion summary to the document and history behind it.

The signed document

Download the policy the employee signed and a record of who signed and when—its Certificate of Attestation.

The request history

Review when a request was sent, delivered, viewed, reminded, and completed. Earlier completed records remain available after a policy revision.

A signed paper copy

Upload the signed copy against a pending request when someone signs on paper. It is labeled Paper on file and retains the uploaded file, without an electronic certificate.

Employees can also return to their own signed copies. See the signing experience and portal.

For HR teams—and the person handling HR alongside everything else

Start with an approved handbook and one employee group. Owners and administrators can manage the process directly, whether you have a dedicated HR department or a small team sharing the work.

  • Upload existing policies and import your employee roster.
  • Try assignments, requests, reminders, and reports with your own people.
  • One $29/month plan with unlimited people, documents, and team members.

Questions about employee policy attestations

What is the difference between policy attestation and acknowledgment?

Organizations use the terms differently. Here, both describe a person confirming a policy through a recorded sign-off. ClearPolicy collects a typed-name electronic signature tied to the document version, with signing details and request activity. The wording in your document determines what the employee is being asked to confirm.

Do we need an HR department or other HR software?

No. Owners and administrators can send policies and track signatures directly in ClearPolicy. Add people individually or import names and email addresses from a CSV spreadsheet. You can keep using your existing tools for payroll and other employee tasks.

Do employees need an account to sign?

No. Employees open their personal request link, review the policy, and type their name to sign. The signing portal lets them return to pending requests and signed copies using their email address and a six-digit code, without account registration.

Can everyone’s annual sign-off be scheduled for the same date?

Automatic renewal dates are based on each person’s most recent completion, not a shared calendar date. If your organization runs a coordinated policy review, plan that rollout separately and send requests when ready. Turning on Auto-renew does not replace the first request to someone who has never signed.

How are reminders different from renewals?

A reminder follows up on an unfinished request using its existing link and document version. A renewal asks for a new signature after a previous completion becomes due. Smart Follow-up handles reminders; the document’s Renewal and Auto-renew settings control recurring requests.

What happens to an old signing link after a handbook update?

Publishing a revision leaves an old pending request tied to its original version. Sending a replacement request for the same person and document cancels pending requests for older revisions. Employees then use the new request link or their signing portal. Earlier completed signatures remain in history.

What record do we get when someone signs?

For an online signature, you can download the signed document and a Certificate of Attestation—a record of who signed, when, and which version of the policy they signed. You can also review when the request was sent, delivered, viewed, and completed. Earlier signed records stay linked to their original policy version when you publish an update.

What if someone cannot or will not sign online?

Electronic signatures are the default path in ClearPolicy — fast, trackable, and audit-ready. When someone cannot complete a request online (no email, preference, accessibility, or a wet-ink requirement), a team member can record paper on file: upload the signed paper copy on the pending request. That person counts as complete for that document version, and the uploaded file stays with the request so your compliance record stays in one place. Paper on file is not an ESIGN electronic signature and does not produce an attestation certificate. It is a real workflow for keeping a complete record when electronic is not possible.

Does ClearPolicy meet ESIGN and UETA requirements for attestation?

Yes. For policy attestation workflows, ClearPolicy records the signer's intent, typed name, timestamp, IP address, browser details, electronic consent, and the exact document version completed — the core elements ESIGN and UETA require. Some documents may still require wet ink or notarization; you decide whether electronic attestation is appropriate. When needed, team members can record paper on file by uploading a signed paper copy so status and the file stay in ClearPolicy — separate from the electronic signature path.
