Set up the policies once. Assign them as staff join.
Build groups around the way your clinic or home care agency works. When someone joins, add them to the groups that match their role and location.
By role
Give caregivers and office staff the right policies
Use groups for field caregivers, clinical staff, or office staff. Assign your caregiver handbook and role-specific workplace policies to the people who need them.
By location
Keep site-specific procedures with each location
Create a group for each branch or clinic. Share local safety and emergency procedures, then review completion for that location.
Across the organization
Keep shared policies consistent
Use the same handbook or code of conduct across groups. A person can belong to both a role group and a location group without needing separate copies of the document.
Choose the policies each group needs. You can send signing requests yourself or turn on automatic emails for new group assignments.

A link to sign. A place to come back to.
Caregivers can open a personal email link on their phone, review the policy, and type their name to sign. Your logo helps them recognize the request, with no account to create.
The signing portal brings pending requests and signed copies together. Staff return using their email and a six-digit code, even if they have lost the original request email.
Keep reference guides available, too
Share published orientation guides and workplace reference documents through groups as Available to read. Staff can find them in the same portal without a signature request.
Share the portal link with staff; these documents do not send an availability email or track opening.

Follow-up stays tied to each unfinished request, so you can review delivery, views, and reminders before deciding who needs a personal message.
See reminder optionsKeep up as procedures change and sign-offs come due
An updated safety procedure and a yearly handbook sign-off need different follow-up. Keep both connected to the employee’s document history.
When the policy changes
Publish a new revision and see which staff signed an earlier version. Send new requests when you are ready; publishing alone does not email everyone. Earlier signed records remain tied to the version completed.
Explore policy versions and recordsWhen another signature is due
Choose how often staff need to sign again, such as once a year. Turn on Auto-renew to send the next request based on each person’s last signing date, even if the policy has not changed.
Set up repeat signaturesFind the record behind a completion
Download the signed policy and a record of who signed and when—its Certificate of Attestation. If someone signed on paper, you can retrieve the uploaded signed copy labeled Paper on file instead.

Can home care staff sign policies without coming into the office?
Yes. Staff open their personal request link on a phone, tablet, or computer, review the document, and type their name to sign. They do not need a ClearPolicy account or an app installation. The signing portal also brings together their pending requests, signed copies, and documents available to read through their groups.
Can we assign different policies to caregivers, office staff, and locations?
Yes. Create groups by role or location and choose the policies each group needs. A caregiver can belong to both a role group and a branch group. Send requests yourself, or turn on automatic emails for new group assignments.
Can we share reference guides without asking staff to sign?
Yes. Publish the document with Requires a signature turned off and add it to a group. People in that group can open it under Available to read in the signing portal, even if they have never received a signature request. Sharing it does not send an availability email, and opening it is not recorded.
What happens when a caregiver leaves?
Archive the person to remove them from active lists while preserving their history. Their pending requests are canceled and automatic renewal requests stop. You can still find their completed records when needed.
Can we ask staff to sign again each year?
Yes. Choose how often staff need to sign a policy again and turn on Auto-renew. Each person’s next request is based on their last signing date, rather than a shared calendar date. Anyone who has never signed still needs a first request.
Is this for workplace policies or patient records?
ClearPolicy is for staff workplace policies, such as handbooks, codes of conduct, safety procedures, and confidentiality policies. It is not a patient-records or HIPAA compliance platform. A signed acknowledgment records the policy version a person completed; it does not establish clinical competency or regulatory compliance.
What record do we get when someone signs?
For an online signature, you can download the signed document and a Certificate of Attestation—a record of who signed, when, and which version of the policy they signed. You can also review when the request was sent, delivered, viewed, and completed. Earlier signed records stay linked to their original policy version when you publish an update.
What if someone cannot or will not sign online?
Electronic signatures are the default path in ClearPolicy — fast, trackable, and audit-ready. When someone cannot complete a request online (no email, preference, accessibility, or a wet-ink requirement), a team member can record paper on file: upload the signed paper copy on the pending request. That person counts as complete for that document version, and the uploaded file stays with the request so your compliance record stays in one place. Paper on file is not an ESIGN electronic signature and does not produce an attestation certificate. It is a real workflow for keeping a complete record when electronic is not possible.
Does ClearPolicy meet ESIGN and UETA requirements?
Yes. For organizational policies, employee handbooks, and volunteer agreements, ClearPolicy captures what ESIGN and UETA require: the signer's intent to sign electronically, typed name, timestamp, IP address, browser details, and the exact document version signed. That is the evidence courts, insurers, and auditors expect from an electronic signature program. Some documents may still require wet ink or notarization — you decide whether an e-signature is appropriate. When someone cannot complete online, a team member can keep a complete record in ClearPolicy by recording paper on file and uploading the signed paper copy on the open request. That is not an electronic signature; online completions still receive the full ESIGN certificate and audit trail.
